Vessel Chartering – Prerequisite Information & Document Requirements

Ametheus Holdings Pvt Ltd is a professional vessel sourcing and chartering facilitator with a strong track record in petroleum products (LPG, LNG, EN590, furnace oil), agri commodities, metals, and related logistics services. We are committed to delivering reliable, transparent, and compliant vessel chartering solutions tailored to your specific requirements, including VLCCs and other tonnage.

To ensure smooth operations, regulatory compliance, mutual trust, and efficient execution of all enquiries, we kindly request all Charterers, Charter Parties, and Agents to provide the following prerequisite information and documents before we proceed with sourcing and arranging suitable vessels.

Required Documents & Information

Please submit the complete set:

1. Company KYC / KYB Documents
   • Certificate of Incorporation / Registration
   • GST Certificate, PAN Card, IEC Code
   • Memorandum & Articles of Association (or equivalent)
   • Latest Proof of Address (utility bill / bank statement)
   • Director(s) / Authorized Signatory(ies) KYC (Aadhaar / Passport / PAN)
   • Company Bank Account Details (with latest statement)
2. Past Fixture References
   • List of recent similar fixtures (last 12–24 months) with details of vessels, cargo, laycan, owners/brokers, and successful completion references.
3. Charterer Background and Business Profile
   • Brief company profile highlighting experience in the relevant trade (petroleum, bulk, etc.)
   • Annual turnover / trading volume (last 2–3 years)
   • List of key principals / counterparties
4. Cargo / Employment Details
   • Full cargo description (type, quantity, specifications, loading/discharge ports)
   • Any special requirements (e.g., heating coils, tank coating, IG system, etc.)
5. Indicative Rate Idea and Payment Terms
   • Expected freight rate or hire rate range
   • Preferred payment terms (e.g., freight payable on loading / discharge, demurrage terms, etc.)
6. Laycan
   • Preferred Laydays / Cancelling date (Laycan) with any flexibility
7. Preferred Charter Party Basis or Draft Terms (if available)
   • Charter Party Form (e.g., SHELLVOY, SHELLTIME, BPVOY, GENCON, etc.)
   • Any specific clauses, riders, or amendments required

Important Declarations & Confirmations

Please provide clear written confirmations on the following:

• Principal Charterer & Paymaster Clearly confirm the identity of the actual Charterer and Paymaster under the proposed Charter Party.
• Authority / Mandate (if acting as agent or on behalf of a third party) If the requirement is for a client (such as SOMO, government entities, or any other principal), please provide a valid Mandate / Appointment Letter issued on the principal’s official letterhead. The letter must:
  • Be signed by an authorised officer
  • Explicitly authorise Ametheus Holdings Pvt Ltd to source tonnage for the requirement
  • Explicitly authorise Ametheus to disclose the principal’s name to shipowners and brokers
  • Include verifiable contact details (official email and phone) for confirmation
• Fixture Details Provide clear confirmation of the exact charter type, duration, and scope. Example: “Time Charter for 6 months for clean/dirty VLCCs” or “Voyage Charter for 50,000 MT LPG from Ras Laffan to Mumbai Port.”

Note: Proof of Funds (POF) or financial capability may be requested at a later stage once discussions progress positively and a suitable owner/vessel position is identified. All information shared will be treated with strict confidentiality.

Our Process Upon Submission

Once we receive and complete satisfactory verification of the above documents and confirmations, we will:

• Review your submission promptly (usually within 24–48 business hours)
• Commence sourcing suitable vessels from our extensive network of owners and operators
• Share detailed vessel particulars, Q88 forms, VEF reports, and owner details under a structured and mutually protected NDA/process
• Facilitate professional negotiations, recap, and fixture in a transparent manner
• Provide full support through chartering, documentation, and post-fixture coordination
